Extract data from a PDF invoice without manual data entry
An invoice carries the same handful of facts every time - who issued it, its number, the dates, the tax, the total, and what was billed - but every supplier lays them out differently. Reading those values off the page and typing them into a system is the work that invoice data extraction removes.
This tool does it in one step. What is invoice data extraction?
Invoice data extraction is the process of turning an invoice document - which is designed for a person to read - into structured data a system can use. It usually has three parts:
- Text capture. Pulling the words and numbers off the page: directly from a digital PDF, or with OCR (optical character recognition) for a scan or photo.
- Field identification. Deciding which captured value is the invoice date, which is the total, which rows are line items, and so on. This is where templated tools need a layout per supplier and AI-based tools do not.
- Structuring and review. Returning the values in a defined shape (fields and a line-item list) so they can be checked and then exported or posted.
Invoices are harder than they look: layouts vary between suppliers, totals and tax appear in different places, line-item tables wrap across pages, and scans introduce OCR noise. A good extractor handles all of that without setup.

Fields that do not appear on the document are returned blank rather than guessed.
How extracted invoice data is used
- Bookkeeping and accounts payable. Extracted fields become bills or expenses in an accounting system, replacing line-by-line keying.
- Accounting and ERP import. The structured output maps to a bill-import template for Xero, QuickBooks, Sage, MYOB, or an ERP.
- Spend analysis. Line items feed a spreadsheet or BI tool to break spend down by supplier or category.
- Approvals and matching. Header fields drive purchase-order matching and approval routing before payment.
- Audit and compliance. A structured record of every invoice - number, date, tax, total - is a portable audit trail.
- Automation pipelines. Extraction is the first stage of an RPA or integration flow that ends in a posted transaction with no human typing.
- System migration. Historical invoices are extracted to structured files when moving between platforms.

Plain OCR gives you the text but not the meaning. Template tools add structure but need a layout defined for every vendor. AI extraction reads an unfamiliar invoice and returns structured fields without that setup.
